Privacy Policy

Information you provide directly:

• Account information. Your email address, used for magic-code authentication.
• Profile content. Information you add to your career profile: contact details, professional summaries, skills, education, work history, achievements, certifications, and any custom sections you create.
• Resume uploads. PDF or DOCX files you upload, either to import into your profile or to attach to an application as a sent record.
• Application records. Company names, role titles, job descriptions you paste or link, application status, notes, and the resume file linked to each application.
• Payment information. When you subscribe to a paid plan, payment is processed by Stripe. We do not store your card details. We receive only the information Stripe shares with us, such as your subscription status, plan, and billing history.

Information collected automatically:

• Usage information. Basic information about how you use the Service, such as which features you access and when.
• Technical information. Your IP address, browser type, device type, and similar technical details, used for security, debugging, and service improvement.
• Cookies. We use a small number of cookies, primarily to keep you signed in. We do not use third-party advertising cookies.

We use your information to:

• Provide the Service and the features you request
• Process AI features (such as resume parsing and writing assistance)
• Send transactional emails (magic-code login, account notifications, billing receipts)
• Process payments and manage subscriptions
• Maintain the security and reliability of the Service
• Improve the Service over time

We do not sell your information. We do not use your content to train AI models.

We share information only with the third-party services we need to operate ResumeFolio:

• Stripe (payments). When you subscribe, your payment information is sent directly to Stripe and is governed by Stripe's privacy policy.
• OpenAI (AI features). When you use AI features, we send the relevant content to OpenAI's API for processing. This includes uploaded resume content (when you import a resume), pasted job descriptions (when you use JD ingest), and summary text (when you use AI writing). OpenAI's API does not use this content to train its models, per OpenAI's API data usage policy.
• AWS (hosting and email). Our infrastructure runs on Amazon Web Services. This includes hosting, file storage, and transactional email delivery via Amazon SES.

We do not share your information with advertisers, data brokers, or any party not listed here.

We may disclose information if required by law, to enforce our Terms, or to protect the rights, safety, or property of ResumeFolio or its users.

We retain your information for as long as your account is active.

If you cancel a paid plan and revert to the free plan, your data is preserved. ResumeFolio is designed as a long-term career companion — your profile, variants, and application history stay accessible.

If you delete your account, we remove your data from active systems within a reasonable period. Some information may remain in backups for a limited time before being overwritten.

We retain limited records (such as billing history) for as long as required by law or for legitimate business purposes.

You have the right to:

• Access your information at any time, through the Service
• Update your profile, applications, and account information at any time
• Export your data — you can download your resumes and content from within the Service
• Delete your account, which removes your data from active systems

To exercise any of these rights, use the relevant feature in the Service or email support@resume-folio.app.

If you are in a jurisdiction with specific data protection laws (such as GDPR in the EU/UK or the Australian Privacy Principles), you may have additional rights. We will honour those rights as required by applicable law.

We take reasonable steps to protect your information, including encryption in transit (HTTPS), secure cloud infrastructure, and passwordless authentication via magic codes (no passwords to leak).

No system is completely secure. If a security incident affects your data, we will notify you as required by law.

The Service is not intended for users under 16. We do not knowingly collect information from children under 16. If you believe a child has provided us information, contact us and we will delete it.

ResumeFolio is operated from Australia. By using the Service, you understand that your information may be processed in Australia, the United States (where AWS, OpenAI, and Stripe are headquartered), and any other location where our service providers operate.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service. The "Last updated" date at the top of this document indicates when the policy was last revised.
